Overview

The District government continues to battle COVID-19 and continues to make progress with its COVID-19 vaccine distribution planning. To promote the health and wellness of our employees and residents, and to support employees receiving the vaccination, the District government is authorizing administrative leave for employees who get vaccinated for COVID-19.


Excused Absence to get Vaccinated

The District government encourages all employees to receive the COVID-19 vaccine when they are eligible to receive it. To support employees in receiving the vaccine, agencies, at their discretion, may grant each employee no more than two hours of administrative leave during their tour of duty to receive the COVID-19 vaccination. The two hours of administrative leave covers time spent getting to, being at, and returning from a COVID-19 vaccine appointment. Administrative leave for these purposes shall only be provided for hours that fall within an employee’s official tour of duty.  

Managers, at their discretion, may request reasonable documentation to support an employee’s excused absence. Reasonable documentation may include communication from the immunization source to the employee confirming a scheduled vaccine appointment or documentation that the vaccine was administered. Managers who request documentation should advise their employees not to provide any medical information as part of the proof in order to avoid implicating the Americans with Disabilities Act. Any requests for documentation to support the excused absence should be done in a consistent and equal manner for all employees. Finally, managers should not disclose an employee’s vaccination status or any related documentation and should treat such information as confidential.

If two appointments are necessary for an employee’s vaccination, an employee may receive up to 2 hours of administrative leave for both appointments.

NOTE: Employees may also receive up to 2 additional hours of administrative leave to receive a COVID-19 booster shot.

PeopleSoft Time Reporting

Employees authorized to use administrative leave for getting vaccinated for COVID-19 should report their time in PeopleSoft using the Administrative Leave with Pay – ADL timecode, and use COVID in the Task field.
